This policy explains what personal data Sendmate collects when you use getsendmate.com or request the two free weeks of outbound, why it is collected, how long it is kept, and what rights you have. It is written for the people who actually read it, so it is short. If anything is unclear, email sergei@getsendmate.com.
The data controller is:
Sergei Drozdov, trading as Sendmate
Email: sergei@getsendmate.com
Sendmate is operated by one person and is not established in the European Union. I offer the service to agencies in the EU, the UK and the US, so the EU General Data Protection Regulation (GDPR) and the UK GDPR apply to how I handle your data. Given the small scale and low-risk nature of the processing (occasional, no special-category data, no monitoring of individuals), I rely on the exemption in Article 27(2)(a) GDPR and have not appointed an EU or UK representative. If this changes, this section will be updated.
| Data | Where it comes from | Purpose | Legal basis (GDPR) |
|---|---|---|---|
| Your name, work email address and company website | Step 1 of the request form, or an email you send me | To reply to you, agree the scope of the two weeks and run them | Art. 6(1)(b) — steps at your request before entering into a contract |
| Who you sell to, the job titles you target, the countries you sell into, what you offer, your hook and proof points | Steps 2 and 3 of the request form, follow-up emails | To build the prospect filters and draft the email sequence with you | Art. 6(1)(b) |
| Your mailbox setup and the daily sending volume you want | Step 4 of the request form | To set up sending in a way that does not damage your domain | Art. 6(1)(b) |
| The content of our correspondence | To respond to you and keep a record of what was agreed | Art. 6(1)(b); Art. 6(1)(f) — my legitimate interest in keeping records | |
| Your feedback about the service (a short call or written notes, if you agree to it) | You | To improve the service and build the product | Art. 6(1)(a) — consent, which you can withdraw at any time |
| Follow-up about a paid, ongoing version after the free two weeks | Me | One or two emails at the end of the trial; you can say no | Art. 6(1)(f) — legitimate interest in following up with an existing business contact. You can object at any time. |
| Basic technical data: IP address, browser type, pages requested | Automatically, with your request and in the server logs | To keep the site running and secure, and to spot spam submissions | Art. 6(1)(f) |
| How you use this site: pages viewed, clicks, scrolling, and a recording of your visit (Yandex Metrika Webvisor) | Automatically, in your browser | To see which parts of the page work and where people give up | Art. 6(1)(f) — legitimate interest in understanding how the site is used. See section 7. |
If you start the form and do not finish it. The request form has five steps. The contact details from the first step — your name, work email and company website — are sent to me as soon as you move on to step 2, so that a request that stops halfway is not simply lost. If you would rather I did not keep them, email me and I will delete them.
What I do not collect. I do not use advertising cookies or retargeting pixels, and I do not sell or share your data for anyone else's marketing. I do not buy, enrich or scrape personal data about you. I do not collect special-category data (health, political opinions, etc.) and I ask you not to send any.
About the people the service writes to. Running your two weeks means processing work contact details of people at the companies you want to reach, sourced from a B2B contact database. For that processing you and I act together on a legitimate-interest basis (Art. 6(1)(f)): we write to work addresses of people whose role is relevant to your offer, we say who we are, every email carries a way to opt out, and any reply asking us to stop is honoured immediately. Those people can exercise the rights in section 5 against me directly, at the address below.
I do not sell or rent personal data, and I do not share it with anyone for their own marketing. To run the service I use a small number of service providers who process data on my behalf under their own data-processing terms:
| Provider | What for | Location / transfer safeguard |
|---|---|---|
| Pagey.ru | Hosting this site, receiving the request form and storing the requests | Russia |
| Yandex (Yandex.Metrica) | Site analytics and session recording — see section 7 | Russia |
The providers above are located outside the European Economic Area, in Russia, which is not covered by an adequacy decision. For the data you send me through the form I rely on the derogation for transfers necessary to take steps at your request before entering into a contract (Art. 49(1)(a)-(b) GDPR); by submitting the form you are asking me to do exactly that. If you would rather not have your data hosted there, email me instead of using the form and say so — I will work with you by email.
I may also disclose data if the law requires it, or to protect my rights in a dispute.
If you ask me to delete your data earlier, I will, unless I am legally required to keep it.
If you are in the EU, the UK, or another place with similar law, you have the right to:
To exercise any of these, email sergei@getsendmate.com. I answer within 30 days, usually much faster, and I do not charge for it. I may ask you to confirm it is really you, from the email address you used with me.
Sendmate does not meet the thresholds of the California Consumer Privacy Act (CCPA/CPRA) or similar state laws, but I follow the same principles anyway:
Besides the cookies needed to make the pages work, this site uses Yandex.Metrica to understand how it is used. Metrica sets its own cookies (_ym_uid, _ym_d and similar) and, through the Webvisor feature, records your visit: pages, clicks, scrolling and mouse movement. What you type into the request form is submitted to me anyway, as described in section 2.
Your browser also stores a draft of the request form on your own device, so that a reload does not lose your answers. That draft never leaves your browser until you finish a step, and it is cleared when the request is sent.
You can turn analytics off: block cookies for this site in your browser, use the Yandex.Metrica opt-out, or write to me and I will exclude you.
Data lives in the providers listed above, all of which use encryption in transit and at rest. Access is limited to me, protected by two-factor authentication. No system is perfectly secure; if a breach ever affects your data I will tell you and, where required, the relevant authority, within the timelines the law sets.
The service is for businesses. I do not knowingly collect data from anyone under 18.
When this policy changes, the date and version at the top will change, and if the change matters to you (new purposes, new providers outside the EU), I will email people who have an open request or a trial running.
